1. Who we are
Wild Ops (ABN 53 609 934 518) is a specialist recruitment business for remote and regional hospitality in Australia. In this policy, "we", "our" and "us" refers to Wild Ops. You can contact us at info@wildops.com.au.
2. What personal information we collect
We may collect the following information:
- Name, email address, phone number
- Current location and work preferences
- CV/resume and employment history
- Qualifications and certifications
- Information you provide in forms or during phone calls
- A record of our correspondence with you (emails, messages, and notes from calls)
- Website usage data collected via Cloudflare Web Analytics (privacy-friendly, no cookies)
3. How we collect it
We collect personal information when you:
- Fill out a form on our website (registration or contact forms)
- Email us directly
- Speak with us on the phone or video call
- Are referred to us by a third party (with your knowledge)
- Visit our website (anonymous analytics only — no cookies)
We also collect work-related details from public sources — for example, where you have publicly advertised your availability for work. We do not collect sensitive information this way, and we tell you we hold your details when we first contact you.
4. Why we collect it
We use your information to:
- Match you with suitable roles or candidates (recruitment services)
- Share your CV and personal details with prospective employers — only with your specific permission for each role
- Communicate with you about opportunities, applications, or enquiries
- Verify qualifications, references, and work eligibility
- Improve our website and services
- Send marketing communications (only with your explicit consent)
If you choose not to provide the information requested, we may not be able to match you with suitable roles.
5. How we store and protect it
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. Information is stored using industry-standard security practices. Access is limited to authorised personnel only. We retain candidate information while you are active with us and for up to 12 months after a role closes, after which we delete or de-identify it — unless you have asked to stay on our talent register. We check in about once a year; if we hear nothing back, your registration lapses and we delete or de-identify your details. We retain the contact details of the operators and businesses we work with for as long as we have a working relationship. You may request deletion at any time by emailing info@wildops.com.au.
5a. Sensitive information
We do not collect sensitive information (race, religion, sexual orientation, criminal history, health information) except where required by law or with your explicit consent.
5b. AI-assisted processing
In short: AI tools help us read, organise, and match applications faster and more thoroughly. They never decide who gets put forward — we do — and your information is never used to train AI models.
We use AI-assisted tools across our candidate and operator workflows — including reading and organising the CVs and registration details you send us, recording and summarising calls and interviews (we always ask before recording), drafting communications, and matching candidates to roles. Where these workflows involve your personal information, the AI provider acts as a contracted processor on our behalf.
Our primary AI provider (Anthropic) is hosted in the United States. Under Australian Privacy Principle 8 (cross-border disclosure), we take reasonable steps to ensure overseas processors handle your information consistently with the Australian Privacy Principles. This includes:
- using API-tier services with no-training defaults — your information is not used to train AI models;
- relying on the provider's contracted data-handling commitments and standard retention periods (30 days as at the date of this policy);
- excluding sensitive personal information from AI-assisted workflows except where you have given specific consent.
A human at Wild Ops reviews any consequential decision affecting your application — for example, whether to introduce you to an operator. You can ask us to explain any AI-assisted step in our process. We document our broader data-handling position in an internal Privacy Impact Assessment, which we will update — and reflect on this page — if our processing arrangements change materially.
5c. Records of our communications with you
We keep a record of our communications with you — including the emails you send us (key details and a short extract), and notes or summaries from calls and meetings — in our recruitment system, so we can manage your application or enquiry and keep an accurate history of our dealings with you. The full content of your emails stays in our email system (Google Workspace); our recruitment system holds the key details, a short extract, and a link back to the original. This record is part of the personal information covered by your rights in section 7 and by the protections in sections 5 and 6.
6. Cross-border data transfers
Some of the tools we use to operate our business are hosted overseas. Depending on how you interact with us, these services may handle your information:
- Anthropic (US) — AI-assisted processing of candidate and operator information, as described in section 5b
- Google Workspace (US) — email, documents, our candidate records, and video calls, including recording and transcribing calls and interviews with consent asked at the start of every recorded call; meeting recordings and transcripts are never used to train AI models
- Cloudflare (US-headquartered) — website hosting, analytics, form submissions, uploaded CVs, and our recruitment-system records (which may be stored outside Australia)
- Resend (hosted in Japan) — sending our emails, such as confirmations and documents
- Backblaze (EU) — encrypted backups; files are encrypted before they leave our systems, so Backblaze cannot read them
- MillionVerifier (US) — checking that business email addresses are current; business contact details only, never candidate information
- Apollo (US) — researching business contact details for the operators we work with; business contact details only, never candidate information
- TidyCal (US) — booking consultations
In accordance with Australian Privacy Principle 8 (cross-border disclosure), we take reasonable steps to ensure overseas recipients handle your information consistently with the Australian Privacy Principles.
7. Your rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Unsubscribe from marketing communications at any time
- Withdraw consent for us to share your details with potential employers

8. Marketing communications
We will only send you marketing emails if you have opted in. Every marketing email includes an unsubscribe link. We comply with the Spam Act 2003 (Cth).
